These Terms & Conditions (“Terms”) govern your relationship with Social Grinder Ltd., a company doing business as Camp Somatic (“Camp Somatic,” “we,” “us,” or “our”), including your use of our website, your participation in any interest or waitlist process, and your reservation and participation in any Camp Somatic trip.

By using our website, submitting an interest form, making a payment, or participating in a Camp Somatic trip, you agree to these Terms. If you do not agree, do not use our services.

These Terms apply to all trips Camp Somatic organizes now or in the future. Trip-specific details — including dates, pricing, specific cancellation cutoff dates, and activity schedules — are communicated separately for each trip.


1. What Camp Somatic Is — and Is Not

Camp Somatic is an independent trip organizer and experience designer. We curate, coordinate, and facilitate group family travel experiences. We are not a:

  • Campground or lodging operator
  • Tour operator or travel agency
  • Childcare or drop-off program
  • Insurance provider

Your lodging and certain activities are provided by independent third-party venues and vendors. By participating in a Camp Somatic trip, you acknowledge that you are also subject to the separate rules, regulations, and agreements of those third-party providers. Camp Somatic has no control over and assumes no liability for the actions, omissions, or decisions of any third-party venue or vendor.


2. Eligibility

To make a reservation with Camp Somatic, you must be at least 18 years of age and legally capable of entering into a binding contract. By submitting a payment or signing any Camp Somatic agreement, you represent that you meet these requirements.

If you are signing or agreeing on behalf of minor children, you represent that you are their parent or legal guardian, or are otherwise duly authorized to act on their behalf.


3. Reservations & Payments

3a. Deposit
A deposit is required to secure your family’s reservation on a Camp Somatic trip. The deposit amount and refund cutoff date are specified for each individual trip at the time of booking and communicated in writing. Unless otherwise stated in your trip-specific booking confirmation:

  • The deposit is fully refundable if you cancel on or before the stated refund cutoff date.
  • The deposit becomes non-refundable after the stated cutoff date.

3b. Second and Subsequent Payments
After your deposit, one or more additional payments will be required to complete your reservation. These payments are non-refundable once made, under any circumstances, including but not limited to voluntary withdrawal, scheduling conflicts, illness, injury, or personal emergencies.

Camp Somatic strongly recommends that all participants obtain travel insurance to protect against non-refundable trip costs.

3c. Payment Methods
We accept payment by credit card and such other methods as may be specified at the time of booking. Personal checks are not accepted. A valid email address is required for all reservations to receive booking confirmations, payment receipts, trip communications, and waiver links.

3d. Waiver Requirement
Before making your second payment, all adult participants (age 18 and over) are required to read and sign the Camp Somatic Participation Agreement, Waiver of Liability & Release for their trip. Your unique second payment link will be provided after your signed waiver is received. Failure to complete the waiver may result in forfeiture of your deposit and cancellation of your reservation.


4. Cancellation & Refund Policy

4a. Cancellation by Participant
If you wish to cancel your reservation, you must notify us in writing at hi@campsomatic.com.

  • If you cancel on or before the trip-specific deposit refund cutoff date: your deposit will be refunded in full, less any payment processing fees charged to us by our payment processor.
  • If you cancel after the deposit refund cutoff date: your deposit is non-refundable.
  • All payments made after the initial deposit are non-refundable regardless of when you cancel.

No refunds are given for early departure, voluntary withdrawal after arrival, or removal from a trip due to violation of these Terms or the Code of Conduct.

4b. Cancellation by Camp Somatic
If Camp Somatic cancels a trip due to circumstances within our control, you will receive a full refund of all payments made directly to Camp Somatic.

If Camp Somatic cancels or materially alters a trip due to circumstances outside our control — including but not limited to natural disasters, severe weather, government orders, public health emergencies, venue closures, or other force majeure events — Camp Somatic will make reasonable efforts to reschedule the trip or issue partial credit toward a future trip. We cannot guarantee a full refund in these circumstances. Camp Somatic’s liability is limited to amounts paid directly to Camp Somatic and does not extend to third-party costs, travel expenses, flights, or consequential losses of any kind.

4c. No Refunds for Third-Party Costs
Camp Somatic is not responsible for any costs you incur outside of your direct payments to us, including travel, transportation, personal gear, or any arrangements made independently with third parties.


5. Participant Responsibilities

5a. Supervision of Minor Children
Camp Somatic is a family experience program, not a childcare or drop-off program. Parents and guardians are responsible for supervising their minor children at all times during the trip, particularly near water, docks, roads, and shared outdoor spaces.

5b. Health & Fitness
By registering for a Camp Somatic trip, you represent that you and any minor children in your care are in adequate physical health to participate in the activities associated with the trip. If you have concerns about your health or fitness, please consult a physician before registering.

5c. Compliance with Rules
All participants must comply with:

  • These Terms & Conditions
  • The Camp Somatic Participation Agreement & Waiver signed before each trip
  • All rules and regulations of the campground, lodging venue, and any third-party activity providers
  • All applicable federal, state, and local laws

5d. Equipment
Where Camp Somatic or a third-party vendor provides equipment (including but not limited to bikes, kayaks, paddles, and life jackets), participants are responsible for any damage, loss, or theft of that equipment during their use. Participants agree to pay for repair or full replacement costs where applicable.


6. Code of Conduct

Camp Somatic trips bring families together in shared spaces. All participants are expected to:

  • Treat fellow guests, Camp Somatic hosts and staff, venue staff, and members of the public with courtesy and respect at all times
  • Refrain from behavior that is abusive, threatening, discriminatory, or disruptive to other families
  • Comply with quiet hours and shared space expectations at the venue
  • Not consume illegal substances; consume alcohol only responsibly and in accordance with applicable law
  • Ensure their minor children behave in a manner consistent with the safety and enjoyment of all guests

Camp Somatic reserves the right to remove any participant from a trip at any time, without refund, for violation of this Code of Conduct or these Terms. The decision to remove a participant is at Camp Somatic’s sole discretion.


7. Photography & Media

Camp Somatic may photograph or video participants during trips for marketing, social media, and promotional purposes. By participating in a Camp Somatic trip, you consent to this use as described more fully in the Participation Agreement & Waiver signed before each trip.

Participants may opt out of photography and media use by indicating their preference on the trip intake form or by notifying us in writing before the trip at hi@campsomatic.com.


8. Intellectual Property

All content on the Camp Somatic website, including text, images, logos, trip descriptions, and schedule materials, is the property of Social Grinder Ltd. and is protected by applicable copyright and intellectual property laws. You may not reproduce, distribute, or use our content without our prior written permission.


9. Website Use

Your use of the Camp Somatic website is at your own risk. We make no representations that the website will be error-free, uninterrupted, or free of viruses or other harmful components. We reserve the right to modify, suspend, or discontinue the website at any time without notice.

Links to third-party websites are provided for convenience only. Camp Somatic does not endorse and is not responsible for the content or practices of any third-party websites.


10. Limitation of Liability

To the fullest extent permitted by applicable law, Camp Somatic’s total liability to you for any claim arising out of or related to these Terms or your participation in a Camp Somatic trip shall not exceed the total amount you paid directly to Camp Somatic for the trip in question.

Camp Somatic shall not be liable for any indirect, incidental, special, consequential, or punitive damages, including loss of enjoyment, lost profits, or personal injury claims, except to the extent such exclusion is prohibited by applicable law.

Nothing in these Terms limits Camp Somatic’s liability for gross negligence or intentional misconduct.


11. Indemnification

You agree to indemnify, defend, and hold harmless Camp Somatic, Social Grinder Ltd., and their respective directors, officers, employees, contractors, and agents from and against any claims, liabilities, damages, losses, and expenses — including reasonable attorney fees — arising out of or in any way connected with your participation in a Camp Somatic trip, your violation of these Terms, or the conduct of any minor children in your care.


12. Dispute Resolution — Binding Arbitration & No Class Action

12a. Binding Arbitration
Any dispute, claim, or controversy arising out of or relating to these Terms or your participation in any Camp Somatic trip — including disputes about the interpretation, breach, termination, or validity of these Terms — shall be resolved exclusively through binding arbitration administered by the American Arbitration Association (AAA) under its Consumer Arbitration Rules, rather than in a court of law.

12b. No Class Actions
All claims must be brought solely in an individual capacity. You waive any right to bring or participate in any class action, collective action, or representative proceeding against Camp Somatic. The arbitrator may not consolidate more than one person’s claims and may not preside over any class or representative proceeding.

12c. Exceptions
Either party may seek emergency injunctive or equitable relief from a court of competent jurisdiction to prevent irreparable harm pending arbitration.

12d. Governing Law
These Terms shall be governed by and interpreted in accordance with the laws of the District of Columbia, without regard to its conflict of law principles. Any court proceedings permitted under these Terms shall be brought exclusively in the courts of the District of Columbia.


13. Severability

If any provision of these Terms is found to be invalid, unenforceable, or contrary to applicable law, that provision shall be modified to the minimum extent necessary to make it enforceable, or severed if it cannot be modified. The remaining provisions shall continue in full force and effect.


14. Changes to These Terms

We may update these Terms at any time. The date of the latest update is reflected at the top of this page. Your continued use of our website or participation in a Camp Somatic trip after any update constitutes your acceptance of the revised Terms. For material changes affecting active reservations, we will notify affected participants by email.


15. Entire Agreement

These Terms, together with the trip-specific Participation Agreement & Waiver signed before each trip, constitute the entire agreement between you and Camp Somatic with respect to your participation in our trips and supersede all prior oral or written representations or statements. In the event of any conflict between these Terms and the Participation Agreement & Waiver, the Participation Agreement & Waiver shall control with respect to the specific trip.
